# 7 Best AI Invoice Processing Software (2026)

> Most accounts payable hours go to the invoices that do not match, and every vendor's headline rate is measured on the ones that do. Seven AI invoice processing tools, ranked on what each does with a mismatch and which accounting systems it syncs with.

In a company of a few hundred people, accounts payable is usually one to three people. They key supplier invoices into the accounting system, match each one to its purchase order and receipt, chase approvals over email, and pay on a run.

Most invoices are routine. The hours go to the ones that are not: the missing PO number, the price that differs from the order, the supplier who billed the wrong entity.

This list ranks the AI invoice processing software a company that size would choose between, by what each tool does with the invoice it cannot match and which accounting systems it syncs with on which plan.

We read every vendor's own pages and fine print on October 28, 2026, its G2 rating, and what AP people say about it on Reddit, leaving out the accounts that work for a vendor or promote one in nearly every comment.

Every tool here is built for the invoices that fit its rules. The exceptions run on yours: which price difference is fine, who approves what. That is the work we do: Qvery builds custom AI agents for accounts payable, on the accounting system you already run. If you need one, [get in touch](https://qvery.ai/contact/).

**What Reddit says**

> Set up all the rules thinking it would catch like 80% but end up closer to 60 on good month because of the PO matching issues you mentioned

The first two are about how much a tool clears on real invoices. The other two are the cases a demo rarely shows: the supplier on the other end of the payment, and the invoice whose lines carry the supplier's part numbers instead of yours.

## 1. [Stampli](https://www.stampli.com/): Every Exception Gets Its Own Conversation

![Stampli's homepage, headed The intelligent Procure-to-Pay platform, on a blue and purple background](https://qvery.ai/blog/best-ai-invoice-processing-software/screenshot-stampli-homepage.webp)

*Stampli's homepage, captured October 28, 2026*

Stampli builds accounts payable around the invoice itself. Each invoice carries **its own thread** of questions and answers, and anyone, a supplier included, can be asked about it right on the invoice. The invoice that sits in an inbox because nobody knows who owns it is the one this design is for.

Its AI, Billy, learns how your team codes, checks lines against the purchase order, routes by your approval rules, flags exceptions that need judgment, and compares a supplier's payment details against its history before money moves.

Stampli's own [G2 description](https://www.g2.com/products/stampli/reviews) puts the AI at 87% of the finance work, "with all suggested entries subject to human review and approval before posting to the ERP". That condition is what a headline touchless rate (the share of invoices no person touches) usually leaves out, and Stampli prints it.

- An invoice-level conversation, with suppliers invited to answer on the invoice.
- Billy: coding learned from your team, line checks against the PO, exception flags, payment-detail checks.
- Two- and three-way PO matching, semi-automated, with full automation by Billy available.
- Native connectors for more than 70 accounting systems, including NetSuite, Sage Intacct and QuickBooks.
- Unlimited invoice capture, entities and vendors on its pricing page.

> 💰 **Pricing** Quote only. The pricing page lists unlimited invoice capture, entities and vendors, and check, ACH, wire and virtual-card payments free for customers.

> 🤖 **The Invoice It Cannot Match** Billy suggests the coding and the match, and calls attention to the exceptions that need a person; every suggested entry waits for a person's approval before it posts. The exception becomes a conversation on the invoice instead of an email chain.

Rating: 4.6 / 5 on G2 (2,086 reviews on G2)

**What Reddit says**

> I'll tell anyone who will listen how great Stampli is with NetSuite.
> ([r/Accounting · Jan 2026](https://www.reddit.com/r/Accounting/comments/1pps44f/ap_automation_anything_worth_the_cost/o2fhbmk/))

> ([r/Netsuite · Jan 2026](https://www.reddit.com/r/Netsuite/comments/1qjf6p3/ap_tools_that_dont_suck/o0zj97a/))

**Pros**
- Built around the invoices that need a person
- The widest accounting-system list here
- Suggested entries wait for approval, by design

**Cons**
- No published price
- Its value shows on exceptions, so a mostly clean invoice mix uses less of it
- G2 reviewers ask for better reporting

The test: send twenty invoices from your hard piles, the ones with no PO or a price mismatch, and watch where each one lands and who gets asked.

## 2. [Ramp](https://ramp.com/): A Free Plan That Grows Into NetSuite at a Per-Seat Price

![Ramp's homepage, headed Time is money. Save both., above a black corporate card](https://qvery.ai/blog/best-ai-invoice-processing-software/screenshot-ramp-homepage.webp)

*Ramp's homepage, captured October 28, 2026*

Ramp is known for corporate cards, and its Bill Pay **works without them**. The free plan is a real AP tool for a team on QuickBooks Online or Xero.

Everything this list cares about beyond that, NetSuite and Sage Intacct sync, the AP agent's coding and approval suggestions, and matching against purchase orders, sits on Plus at $15 per user a month.

Plus also carries a platform fee "based on team size" that the [pricing page](https://ramp.com/pricing) does not price. One Reddit user learned of a $30,000 annual platform fee only after three sales calls; get yours in writing before the trial ends.

Its users like it more than they like any other tool on this list, and what they praise is the approval flow more than the reading of invoices. The same threads say where it stops: teams that grow through acquisitions, or outgrow its workflow, add a more specialized AP tool.

- Free plan: invoice capture, approval workflows, fraud checks, QuickBooks Online and Xero sync.
- Plus: NetSuite, Sage Intacct, Acumatica and Dynamics 365 Business Central.
- AP agent on Plus: line-item coding from your history, approval recommendations, fraud flags on bank-detail changes.
- Three-way match with imported purchase orders and item receipts on Plus.
- Bill Pay without Ramp's cards; payment fees by method, eligible ones waived from a Ramp checking account.

> 💰 **Pricing**
> - **Free:** $0 per user a month
> - **Plus:** $15 per user a month, plus a platform fee by team size (not priced on the page), 20% off billed annually
> - **Enterprise:** custom, billed annually
> - **Bill payments:** fees vary by method; eligible fees waived when paid from a Ramp checking account

> 🤖 **The Invoice It Cannot Match** The approval agent summarizes the vendor's history, the contract and the PO match, then suggests approve or reject; Ramp's own page says your team keeps the call on approvals, exceptions and payments. Matching against POs needs Plus.

Rating: 4.8 / 5 on G2 (2,558 reviews on G2, for the whole Ramp platform)

**What Reddit says**

> The OCR is fine but the bigger benefit is having everything come through one approval flow before it hits NetSuite.
> ([r/Netsuite · Mar 2026](https://www.reddit.com/r/Netsuite/comments/1rp4hz6/ap_automation/o9ivx96/))

> Ramp got us a long way before we felt like we needed to layer on more specialized AP tooling and for a lot of teams cleaning up the workflow is better than jumping into enterprise OCR.
> ([r/Netsuite · Aug 2026](https://www.reddit.com/r/Netsuite/comments/1vgbe91/invoice_volumes_are_increasing_but_our_ap_team_is/p21nvhp/))

> I was a big fan of Ramp until I learned about the annual platform fee of $30k.
> ([r/Accounting · Mar 2026](https://www.reddit.com/r/Accounting/comments/1rwby23/ap_automation_guidance_and_reviews/ob73vwz/))

**Pros**
- A free plan that is a real AP tool
- The best-liked tool on Reddit in this list
- Approval flow and accounting sync users rate above its OCR

**Cons**
- NetSuite, Intacct and matching need Plus
- The Plus platform fee is not priced on the page
- G2's score covers cards and expenses too

The test: run a month of your invoices through the free plan first; if you need Plus, ask for the platform fee for your team size in the first call.

## 3. [Vic.ai](https://www.vic.ai/): Aimed at Invoices Nobody Touches, Measured at Month Six

![Vic.ai's homepage, headed AP automation, reimagined, above a sample invoice queue](https://qvery.ai/blog/best-ai-invoice-processing-software/screenshot-vic-ai-homepage.webp)

*Vic.ai's homepage, captured October 28, 2026*

Vic.ai is the most AI-first tool here. It reads invoices without templates, codes them, matches them two, three or four ways against POs, receipts and contracts, and flags discrepancies, missing POs and mismatches. Within tolerance levels, it matches on its own.

[Its homepage](https://www.vic.ai/) claims an **85% no-touch rate** by month 6 and a 99% invoice accuracy rate "without coding or setup required". Month six is a fair place to measure a model that learns from your invoices; it is also five months after your first one.

Ask for the month-one number and what Vic.ai counts as a touch.

Its ready-made integrations cover Oracle and Microsoft systems; anything else goes through its open API, so ask how yours is connected and who maintains it.

- Capture without templates.
- Two-, three- and four-way matching against POs, receipts and contracts.
- Issue detection that flags discrepancies, missing POs and mismatches.
- Auto-matching within tolerance levels.
- Open API; out-of-the-box integrations with Oracle and Microsoft suites.

> 💰 **Pricing** Not published. The demo form asks for revenue band, monthly invoice volume and accounting system.

> 🤖 **The Invoice It Cannot Match** Anything outside its tolerances is flagged as a discrepancy, missing PO or mismatch. The month-six figure implies it flags fewer as it learns your invoices, so the month-one number is the one to ask for.

Rating: 4.7 / 5 on G2 (27 reviews on G2)

Reddit knows Vic.ai mostly as a name: in the AP threads we read it comes up as one to look at, and no independent commenter reported running it. That is too thin for a score.

**Pros**
- The most AI-first design on this list
- Four-way matching, contracts included
- Tolerances decide what it matches alone

**Cons**
- Its headline rates are its own, measured at month six
- Few independent reviews yet
- Pricing not published

The test: ask for a trial on your invoices with the month-one no-touch rate counted your way.

## 4. [Medius](https://www.medius.com/): Supplier Questions Answered Before They Reach AP

![Medius's homepage, headed Autonomous AP, powered by agentic AI, beside a sample payment run](https://qvery.ai/blog/best-ai-invoice-processing-software/screenshot-medius-homepage.webp)

*Medius's homepage, captured October 28, 2026*

A share of every AP week is suppliers asking where their money is. Medius sells a part of its AP 360 package for exactly that: Supplier Conversations reads supplier emails and **answers them itself**, invoice and payment questions alike, and an assistant answers approvers' questions so invoices do not wait on them.

Underneath is AP automation with multi-way matching, sold in two packages by quote, both with unlimited users. Its homepage cites a 97% auto-match rate on invoice lines, with no basis given on the page; ask what it is measured on.

- Multi-way matching, prepayments and recurring invoices in both packages.
- Supplier Conversations: supplier emails read and answered on its own (AP 360).
- An assistant for approvers' questions (AP 360).
- Fraud and risk detection and a supplier portal (AP 360).
- Connectors for NetSuite, Microsoft Dynamics, SAP, Oracle Fusion and Yardi, among others.

> 💰 **Pricing**
> - **AP Essentials:** quote; AP automation, capture, analytics, unlimited users, 1 entity
> - **AP 360:** quote; adds the approver assistant, Supplier Conversations, fraud and risk detection, supplier portal, 3 entities

> 🤖 **The Invoice It Cannot Match** Its AP pages say exceptions are flagged automatically, and the supplier who emails about a stuck invoice gets an answer without anyone in AP writing it. Medius's own line is that finance teams stay in control.

Rating: 4.3 / 5 on G2 (103 reviews on G2)

Reddit is thin on Medius: the two users with no stake who mention it say its NetSuite integration works, and most of the other comments came from its own salespeople and partners, so there is no score.

**Pros**
- Supplier questions answered on their own
- Unlimited users in both packages
- Matching built for invoices with POs

**Cons**
- No published price
- A thin independent record
- Its 97% figure comes with no basis on the page

The test: give it the invoices with partial deliveries and price differences, and forward it last month's supplier emails asking about payments.

## 5. [Tipalti](https://tipalti.com/): Built for Paying Suppliers in Many Countries

![Tipalti's homepage, headed AI built for finance, without sacrificing control, with its sales chat window open](https://qvery.ai/blog/best-ai-invoice-processing-software/screenshot-tipalti-homepage.webp)

*Tipalti's homepage, captured October 28, 2026*

Tipalti's strength is the payment end. It pays suppliers in **more than 200 countries** and territories, in 120 currencies, by more than 50 methods, with tax compliance built in. If your supplier list crosses borders, that is most of the work, and it is the work Tipalti is built around.

On the invoice side it does the standard work, capture, coding and two- and three-way matching, and its price has two parts: a plan from $99 a month with unlimited users, and a charge per invoice and per payment on top.

Reddit is split on it. Users who run it report it works; others report sync errors with NetSuite that take time to fix. Tipalti threads also carried more promoting accounts than any other tool's, all left out of the score.

- Payments to 200+ countries and territories, 120 currencies, 50+ methods.
- Tax compliance built in.
- AI capture, auto-coding, and two- and three-way PO matching.
- Unlimited users; supplier self-service portal.
- Connectors for NetSuite, Sage Intacct, Dynamics 365 Business Central, QuickBooks and Xero.

> 💰 **Pricing**
> - **Accounts Payable:** from $99 a month, unlimited users
> - Transaction pricing per invoice and per payment, on top
> - Procurement, expenses and treasury modules extra
> - No free tier

> 🤖 **The Invoice It Cannot Match** Two- and three-way matching checks each invoice against its PO and receipt; its pages say less about the mismatch than about what happens after approval, when the payment has to land in another country.

Rating: 4.5 / 5 on G2 (427 reviews on G2)

**What Reddit says**

> I've used Tipalti before. Works well but want to keep the user within NetSuite if possible.
> ([r/Netsuite · Mar 2026](https://www.reddit.com/r/Netsuite/comments/1rvk0ua/ns_ow_ocrap_automation_that_supports/ob0i6v7/))

> We’re currently using Tipalti, no complaints so far.

> Some of the errors originated from NetSuite changes but there isn’t great error handling available to us so it takes some time to fix and resync.
> ([r/Accounting · Aug 2025](https://www.reddit.com/r/Accounting/comments/1mdey06/ap_automation/n7fhsb2/))

**Pros**
- The deepest cross-border payments here
- Unlimited users from the entry plan
- A published starting price

**Cons**
- Per-invoice pricing on top of the plan
- NetSuite sync errors reported by users
- Exception handling is standard matching

The test: ask for the per-invoice price at your monthly volume and a sync-error report from a customer on your accounting system.

## 6. [BILL](https://www.bill.com/): Published Prices for Teams on QuickBooks or Xero

![BILL's homepage, headed Meet BILL. Your financial operations platform., with a cookie notice and a chat window open](https://qvery.ai/blog/best-ai-invoice-processing-software/screenshot-bill-homepage.webp)

*BILL's homepage, captured October 28, 2026*

BILL prints its prices: **$49, $65 and $89** per user a month, with a custom Enterprise plan above. For a team on QuickBooks Online or Xero, Team at $65 adds the automatic two-way sync and the AI that codes multi-line bills.

The plan matters more than the AI here. NetSuite, Sage Intacct, Microsoft Dynamics and Acumatica sync only on Enterprise, and PO sync with two- and three-way matching sits there too. On Reddit, the sharpest complaints come from NetSuite users: an integration that handled one subsidiary, custom fields that did not sync.

Read its [accuracy footnote](https://www.bill.com/product/accounts-payable). The 99% capture figure is based, in BILL's own words, "on BILL’s analysis of the top 20% of common bills assuming doc layouts and user behaviors stay consistent", and BILL adds that results vary by layout and data quality. The same page claims 95% day-one accuracy on key invoice fields.

- QuickBooks Online and Xero two-way sync from Team.
- AI multi-line bill coding (Invoice Coding Agent) from Team.
- Two-way matching on Corporate; PO sync with two- and three-way matching on Enterprise.
- Pays by ACH, mailed check, virtual card and international wire.
- NetSuite, Sage Intacct and Dynamics sync only on the Enterprise plan.

> 💰 **Pricing**
> - **Essentials:** $49 per user a month (QuickBooks and Xero by manual import)
> - **Team:** $65 per user a month, automatic sync and AI coding
> - **Corporate:** $89 per user a month, custom approvals and two-way matching
> - **Enterprise:** custom, NetSuite, Intacct and Dynamics sync, PO matching
> - **Payments:** ACH $0.59, mailed check $1.99, virtual card free

> 🤖 **The Invoice It Cannot Match** The AI codes the bill and your approval rules route it; matching against POs is included from Corporate (an add-on below it) and gets its PO sync on Enterprise.

Rating: 4.4 / 5 on G2 (1,813 reviews on G2)

**What Reddit says**

> Vendors don’t have to sign up and you can still pay via ACH, wire, or check. Only downside is you have to plan ahead as payments aren’t usually next day unless you pay a fee
> ([r/Accounting · Jun 2024](https://www.reddit.com/r/Accounting/comments/1dciued/ap_automation_almost_got_cfo_fired/l7ygzxy/))

> Sage autoentry is pretty good but if you want a one stop software that also pays the bills then bill.com
> ([r/Bookkeeping · Jan 2026](https://www.reddit.com/r/Bookkeeping/comments/1q1pwyd/what_invoice_scanning_software_do_ap_teams_use/nxajqb1/))

> It couldn’t handle more than one subsidiary.
> ([r/Netsuite · Oct 2025](https://www.reddit.com/r/Netsuite/comments/1o1rhsm/netsuite_and_bill/niikj3q/))

**Pros**
- Prices on the page, per user
- QuickBooks and Xero sync from Team
- Capture, approval and payment in one place

**Cons**
- NetSuite, Intacct and Dynamics only on the Enterprise plan
- Its 99% figure covers the most common bills
- The lowest Reddit score on this list

The test: if you are on QuickBooks or Xero, run Team on a month of invoices; if you are on NetSuite, ask for Enterprise pricing before anything else.

## 7. [AvidXchange](https://www.avidxchange.com/): Wired Into Property Management Accounting Systems

![AvidXchange's homepage, headed AI-Powered Accounts Payable, above invoice status cards](https://qvery.ai/blog/best-ai-invoice-processing-software/screenshot-avidxchange-homepage.webp)

*AvidXchange's homepage, captured October 28, 2026*

AvidXchange lists 240 integrations, and the featured ones read like a property manager's stack: **Yardi, AppFolio, MRI and Rent Manager**, beside NetSuite, Sage, Acumatica and Microsoft. If your books live in one of those, it connects to them without you changing systems.

It captures and codes invoices with AI, shows an AI approval agent in its workflow, and runs the payments itself; its users say it takes check cutting off their desks. Pricing is not published.

The trade-off is the one this list keeps returning to.

When AvidXchange pays your suppliers, it also offers them payment methods, cards and faster ACH among them, and most of the complaints on Reddit come from suppliers and AP teams describing fees on the supplier's side. Settle who chooses each supplier's payment method before you sign.

- 240 integrations, including Yardi, AppFolio, MRI, Rent Manager, NetSuite and Sage.
- AI invoice capture and coding.
- An AI approval agent.
- Check cutting and electronic payments run by AvidXchange.
- Connects without changing your accounting system.

> 💰 **Pricing** Not published; quotes through a demo.

> 🤖 **The Invoice It Cannot Match** Its pages show AI capture, coding and an approval agent, and do not describe how a PO mismatch is handled; ask to see one in the demo.

Rating: 4.4 / 5 on G2 (359 reviews on G2)

**What Reddit says**

> They handle all the check cutting, eschitments and there's no filing since everything is digital.
> ([r/CFO · Aug 2026](https://www.reddit.com/r/CFO/comments/1vuzhzd/ap_automation_tools_like_ramp/p5b1sy9/))

> I've seen vendors get enrolled for virtual cards which include a processing fee.
> ([r/Accounting · Jun 2024](https://www.reddit.com/r/Accounting/comments/1dciued/ap_automation_almost_got_cfo_fired/l7yzlaj/))

> They charge vendors/suppliers 1.2% per transaction for simple ACH transfers.
> ([r/Accounting · Jan 2026](https://www.reddit.com/r/Accounting/comments/1dciued/ap_automation_almost_got_cfo_fired/nzzketm/))

**Pros**
- Connects to Yardi, AppFolio, MRI and Rent Manager
- Takes check cutting off your desk
- 240 integrations

**Cons**
- No published price
- Supplier payment fees draw complaints
- Its pages do not describe PO mismatch handling

The test: ask in writing what each payment method costs your suppliers and whether AvidXchange contacts them.

## The Accounting System Narrows the List Faster Than the AI Does

**The seven entries, side by side**

| Tool | Syncs with | Pays suppliers | Price | Reddit Score |
|---|---|---|---|---|
| Stampli | 70+ systems, NetSuite included | Yes | Quote | 63.3 |
| Ramp | QuickBooks, Xero; NetSuite on Plus | Yes | Free; Plus $15/user + fee | 73.6 |
| Vic.ai | Open API; Oracle, Microsoft | Yes | Quote | Too few mentions |
| Medius | NetSuite, Dynamics, SAP, Yardi | Yes | Quote | Too few mentions |
| Tipalti | NetSuite, Sage, QuickBooks, Xero | Yes, 200+ countries | From $99/mo + per invoice | 50.0 |
| BILL | QuickBooks, Xero; NetSuite on Enterprise plan | Yes | $49 to $89/user | 30.6 |
| AvidXchange | 240, incl. Yardi, AppFolio | Yes, checks too | Quote | 42.5 |

Every invoice tool here reads a clean PDF invoice. What separates them for a company your size is the plan your accounting system needs, what the tool does with a mismatch, and who controls the payment to the supplier.

None of the seven was run inside a paid account for this list. The table is what each vendor's own pages say, and every entry ends on one thing to test in a trial for that reason.

## Last Month's Invoices Tell You More Than Any Vendor's Rate

Most vendors here publish a rate, and each one is true of something. BILL's 99% covers "the top 20% of common bills". Vic.ai's 85% is measured at month six. Stampli's 87% comes with every suggested entry waiting for a person's approval.

**None of them is a number for your invoices.**

The invoices those rates leave out are where the money goes. In Ardent Partners' [State of ePayables 2025](https://payablesplace.ardentpartners.com/2026/01/state-of-epayables-part-nine-ap-benchmarks-and-best-in-class-performance/), a survey of 204 AP professionals, the average exception rate was 18.4%, and Ardent calls exceptions typically the biggest single reason the cost per invoice, $9.84 on average, is not lower.

So before the first demo, take last month's supplier invoices and sort each one into four piles:

1. **Went through untouched** matched, approved and posted with nobody fixing anything.
2. **Needed a quick fix** a missing PO number, an amount keyed wrong.
3. **Needed someone's decision** no PO at all, goods not yet received, a price that differs from the order.
4. **Disputed or sent back** a charge you challenge, or an invoice returned to the supplier.

The first pile is the most any tool's touchless rate can mean for you. The other three are where your hours go, and the invoices every vendor should run in front of you.

Here is the arithmetic with example timings; replace them with yours. Say 1,000 invoices a month, 800 in the first pile and 200 across the other three, close to Ardent's average. Say a clean invoice takes 3 minutes to key and an exception 20 minutes to chase:

**One month of invoices, illustrative timings**

| Pile | Invoices | Minutes each | Hours |
|---|---|---|---|
| Went through untouched | 800 | 3 | 40 |
| Quick fix, decision, dispute | 200 | 20 | About 67 |
| Total | 1,000 | | About 107 |

The exceptions are **a fifth of the invoices** and **close to two thirds of the hours**.

A tool that clears the clean pile perfectly saves about 40 hours a month. One that also halves the time each exception takes saves about 73. The second tool is the one worth paying for, and you only find it by running your 200, not the vendor's samples.

Bring twenty invoices from the three hard piles to every demo: one with the supplier's part numbers instead of your item codes, one multi-page invoice, one scan, one with a partial delivery. Count what lands where.

If most of those hard piles turn out to be supplier records, approval routes and purchasing habits rather than reading invoices, that is the work to map before you buy anything.

## Pick by the Accounting System You Already Run

**On QuickBooks Online or Xero, a few hundred invoices a month:** Ramp's free plan or BILL's Team plan, whichever your team finds easier on a month of your own invoices.

**On NetSuite, Sage Intacct or Dynamics 365 Business Central, with POs on most invoices:** Stampli first, Ramp Plus second, with Ramp's platform fee in writing.

**Buying inventory, with supplier part numbers on the lines:** whichever of Stampli, Vic.ai or Medius matches your hard invoices live in a trial.

**Paying many suppliers abroad:** Tipalti, priced at your monthly invoice volume.

**Managing property on Yardi, AppFolio, MRI or Rent Manager:** AvidXchange, with the supplier payment terms settled first, or Medius if you are on Yardi.

**Supplier emails asking about payments eat the week:** Medius AP 360.

**Willing to give a model months to learn your invoices:** Vic.ai, with its month-one numbers in hand.

Whichever you shortlist, **the sort comes first**. Put last month's invoices into the four piles before the first demo; the count in the first pile is the touchless rate you can hold a vendor to, and the other three are the invoices to make every vendor run.

Whichever tool clears your routine invoices, the exceptions this list began with stay, and they run on your company's own rules. That is the work we do: Qvery builds custom AI agents for accounts payable. If that is the help you need, [get in touch](https://qvery.ai/contact/).

## Frequently asked questions

### What share of invoices should go straight through before we buy?

There is no universal number. In Ardent Partners' 2025 survey of 204 AP professionals, the average exception rate was 18.4%, so on average about four in five invoices went through without one. Your own month, sorted into the four piles above, is the number that counts.

### Does AP automation work with NetSuite or QuickBooks?

Usually, but check the plan. BILL syncs NetSuite, Sage Intacct and Dynamics only on its custom Enterprise plan, and Ramp only on Plus; Stampli, Tipalti and Medius list NetSuite connectors. QuickBooks Online syncs on Ramp's free plan and BILL's Team plan.

### How much does AP automation cost per user or per invoice?

BILL charges $49 to $89 per user a month, Ramp Plus $15 per user plus a platform fee by team size, and Tipalti from $99 a month plus a charge per invoice and payment. Stampli, Vic.ai, Medius and AvidXchange quote. Payment fees come on top, such as BILL's $0.59 per ACH payment.

### Who handles the invoices the AI cannot match?

A person on your team decides, on every tool here. The tools differ in how the exception reaches a person: Stampli opens a conversation on the invoice, Ramp's agent suggests approve or reject, Vic.ai and Medius flag it for review. Clean up duplicate suppliers and stale approval routes first, or exceptions just reach the wrong person faster.

### Should the vendor run supplier payments for us?

Keep the choice of payment method in your hands: some AP tools offer your suppliers card or faster payments that carry fees for them. An accountant [described on Reddit](https://www.reddit.com/r/Accounting/comments/1dciued/ap_automation_almost_got_cfo_fired/) how a client's main supplier stopped supplying it after its AP tool pushed card payments; the client went back to cutting checks. Ask each vendor whether it contacts your suppliers.

### Can AI read scanned, multi-page or non-standard invoices?

It reads clean PDFs well. BILL's footnote scopes its 99% to the most common bills, and the other vendors' figures carry their own conditions. Test the hard ones yourself: scans, multi-page invoices, and inventory invoices where the supplier lists its own part numbers instead of your item codes.

### Do we need a tool at our volume?

At a few dozen invoices a month, your accounting system's own bill pay and a shared inbox may be enough. Time a month first: if exceptions take a few hours, a tool is overkill; if they take a few days, the sort above tells you which tool to test.
